License Microsoft 365 data to AI: sizes, exports, terms

The short answer

You export Microsoft 365 data from Teams, Outlook, SharePoint and OneDrive. Troveo and Mercor list these tools. Google's Spirit Airlines bid covered 100 million emails and 500 million Teams messages at $10 million, but the court has not approved it. Admin center reports size a tenant.

Microsoft 365 spreads one company's records over several services. SharePoint and mailboxes have admin center size reports, and Teams chats leave through an export API.

Who names Microsoft tools?

Troveo's page lists Teams under chat and messaging, Outlook under email, OneDrive and SharePoint under documents, and Dynamics under business platforms. Mercor names MS Teams and Outlook. micro1's page names none of these tools. All of this is self-description.

How do you size SharePoint and mailboxes?

In the Microsoft 365 admin center, go to Reports, then Usage, then SharePoint, then the Storage tab. It shows total usage, quota and a usage trend. Microsoft says it refreshes every 48 to 72 hours.

For mail, choose Exchange, then the Email activity tab, View More, and Exchange then Mailbox usage. The per-mailbox table lists storage used in MB and item count, and it exports to CSV. The Storage chart leaves out archive mailboxes.

How does the data leave?

Teams chats and channel messages come out through the Teams Export APIs, covered on licensing Teams data to AI. I didn't confirm limits on Purview eDiscovery exports for mail and files, so I state none.

What do Microsoft's terms say?

Microsoft's APIs Terms of Use bar an app from building databases or copies of API data beyond what its scenario needs, and from redistributing or reselling it. I found no sentence about AI training in that text. An app a buyer connects through Graph is the kind of app those terms describe. That's my reading. I didn't read Microsoft's product terms.

What should you check first?

Mail holds employees' words and outsiders' words. See licensing employee emails to AI and licensing company emails to AI. The rights check asks whose records these are and whether staff messages are included.
